Forest Hills Public Schools is pleased to make its facilities available to community organizations and groups when spaces are not needed for district programs and activities. All facility use requests are subject to district approval and must comply with FHPS policies and procedures.

CARE OF OUR FACILITIES

Our facilities are a source of pride for Forest Hills Public Schools and the broader community we serve. Built and maintained through the investment of our taxpayers, every building, gymnasium, field, and common space reflects our collective commitment to providing an exceptional environment for learning. We ask that all groups and individuals using our facilities treat them with the same care and respect we put into maintaining them, leaving spaces clean, reporting any damage promptly, and being mindful of the impact their use has on our buildings and grounds. Additional fees may be charged to renters who do not clean up after use a facility space and/or do not treat the space with respect. Responsible use today ensures these spaces remain available and in excellent condition for the students and community members of tomorrow.

Liability Insurance Requirements

Purchaser is required to provide proof of liability insurance coverage by supplying Forest Hills Public Schools with a certificate of insurance. The certificate of insurance is due two (2) weeks prior to the Purchaser’s arrival to campus. The certificate of insurance must address the following detail:

Name Forest Hills Public Schools as the Certificate Holder
Name Forest Hills Public Schools as an additional insured, with the exception of Worker’s Compensation
List liability coverage at no less than $1,000,000 per occurrence
List the policy period as inclusive of the dates covering Purchaser’s stay at Forest Hills Public Schools
List the dates of the activity in the description portion of the insurance certificate

General Rules and Regulations

  1. All persons or groups using school facilities are responsible for the proper supervision, conduct, and safety of all attendees. The applicant is accountable for maintaining order at all times.
  2. The school district is not responsible for any personal or organizational property left on school premises.
  3. All district equipment and property remain under the control of the school district and may not be moved or used without authorization.
  4. Users assume all liability for any damage, loss, or injury occurring on district property as a result of their use. This includes the acts or negligence of their participants, guests, vendors, or representatives.
  5. The applicant agrees to promptly reimburse the district for any damage or loss that occurs during use.
  6. Rental charges include custodial services for standard weekday events. Custodial fees will be added for all weekend rentals and any overtime hours required for setup, teardown, or extended use. Facility use fees are assessed for the entire length of your reservation, including all setup, teardown, and any time required for district personnel to prepare for, support, or conclude your event.
  7. Failure to comply with district policies or regulations may result in the forfeiture of future facility use privileges.
  8. Use of kitchen equipment or kitchen facilities is prohibited.
  9. In the absence of a designated district employee, the attending custodian will have supervisory authority over the facility.
  10. Alcoholic beverages are strictly prohibited on all Forest Hills Public Schools property.
  11. Smoking or use of tobacco products (including e-cigarettes and vaping) is not permitted in any district facility or on school grounds.
  12. Parking is permitted only in designated parking areas where signage is posted.
  13. All trash and refuse must be placed in the provided disposal receptacles or removed by the user.
  14. Facility users are encouraged to submit feedback or report concerns to the district’s operations department within one business day following their event.
  15. There are additional rules for outdoor facility use; please make sure you are aware of these if utilizing these spaces.
  16. Regular rental rates apply when admission is charged or when an event is conducted for profit by a non-district organization.
  17. Helium balloons are not permitted in any district space.
  18. Food or beverages are not permitted in gyms, fieldhouses, or auditoriums.
  19. A Certificate of Insurance (COI) is required for all facility rentals. The COI must show general liability coverage of at least $1,000,000 per occurrence and $2,000,000 aggregate, naming Forest Hills Public Schools as an additional insured on a primary and noncontributory basis. Coverage must remain active for the entire duration of the rental period.

There will be a 50% deposit per stadium rental.

Facilities will be assigned within 2 weeks of start of season.

NOTE: No access to indoor facilities when school is not in session. This includes 1/2 days and snow days.
